Our client is looking for a Court Administration Assistant to join their team!
Position Description:
The Court Administration Assistant provides administrative support in a high-volume work environment that requires the ability to multi-task, use strong organizational and communication skills to provide exemplary service, both internally and externally, ensuring that the needs of the Court are met effectively.
Provides excellent customer service to Protective Order Area customers both in person and on the phone.
Use case management system, Domestic Violence Computer Prompt System, Protective Order Statewide AZPoint system, and other court software to assist customers with case information. Directs public to appropriate Court programs, resources, facilities and outside agencies.
Review paperwork for completeness;contacts interested parties for missing information, notice of hearings, and Protective Order related information.
Uses Outlook Email, Microsoft Teams, and multiline telephone to maintain effective internal and external communication.
Schedules contested protective order hearings utilizing the case management system and court interpreter calendar.
Maintain confidentiality of case-sensitive information related to protective order cases.
Operate and troubleshoot various office equipment such as printers, copiers, and scanners.
Perform other duties and special projects as assigned.
Required Skills:
Principles and processes for providing customer service including customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction
Skill in:
The use of computer applications including spreadsheets, databases, and word processing software.
Written and verbal communication with others to convey information effectively
Providing exemplary customer service
Ability to:
Learn policies, procedures, and guidelines established by the Court
Respond courteously to concerns of the public, attorneys, and employees
Use effective time management skills to handle multiple tasks at one time
Excel in a high volume and time-sensitive work environment

Understand and accurately brief oral and written instructions
Make sound decisions in accordance with regulations, policies, and procedures
Work as a member of a team with minimal supervision
Multitask in a high-volume constant interruption environment
Work independently or with little supervision
Required Experience & Education:
High school diploma or GED
Two (2) years of general clerical or administrative experience OR Combined education and experience qualifications
Post-secondary education may substitute for the experience requirement on a year-for-year basis
Preferred Experience:
Previous court or legal experience, and substantial customer service
Bilingual in Spanish/English
Experience with Microsoft Outlook, Microsoft Teams, multi-line telephone system, and copy/fax machine
