Overview
A premier, technology-driven multi-specialty dental practice is seeking a Director of Operations to lead day-to-day operations, team performance, and strategic growth initiatives. This role oversees a high-volume practice with multiple providers and service lines, ensuring excellence in patient experience, operational efficiency, and financial performance.
The Director of Operations will play a critical leadership role in maintaining a high-end, patient-centric environment, while driving continuous improvement across clinical support, administrative operations, and business functions.
Core ResponsibilitiesOperational Leadership
- Oversee daily operations including patient scheduling, workflow optimization, billing, and insurance coordination
- Manage staffing, resource allocation, and office productivity across clinical and administrative teams
- Coordinate across multiple specialties including general dentistry, specialty care, and hygiene services
- Drive implementation of technology solutions and process improvements to enhance efficiency and care delivery
- Own office-level profit and loss (P&L) performance
- Manage revenue cycle operations, including collections, accounts receivable, and insurance processing
- Monitor and drive key performance indicators (KPIs), including production, collections, case acceptance, and patient retention
- Control operating expenses, budgets, and financial reporting
- Ensure accurate completion of financial tasks such as payroll, deposits, and reporting
- Deliver a high-quality, five-star patient experience across all services
- Optimize patient flow, scheduling efficiency, and reappointment processes
- Monitor and improve call handling, patient engagement, and online reputation management
- Support initiatives to drive new patient acquisition and retention
- Recruit, hire, train, and develop clinical and administrative staff
- Lead performance management, including coaching, reviews, and corrective actions
- Foster a collaborative, high-performing, and patient-focused culture
- Ensure team members are equipped with the tools, training, and support needed for success
- Ensure compliance with HIPAA, OSHA, and applicable state/federal regulations
- Maintain accurate patient records, documentation, and data integrity
- Oversee adherence to internal policies, procedures, and operational standards
- Maintain a safe, clean, and compliant facility environment
- Support and execute marketing strategies, promotions, and branding initiatives
- Manage community outreach, referral relationships, and local partnerships
- Oversee digital presence, including social media and patient engagement platforms
- Collaborate on strategies to increase case acceptance and service line growth
- Complete and oversee administrative functions including:
- Financial reporting and performance tracking
- Bank deposits and revenue posting
- Payroll and bonus administration
- Accounts receivable and invoice processing
- Maintain accurate patient records, insurance data, and treatment documentation
Qualifications & ExperienceExperience
- 3–5+ years of experience in dental or healthcare operations leadership
- Prior experience managing high-volume, multi-provider practices
- Strong background in dental billing, insurance, and revenue cycle management
- Proven experience in team leadership, performance management, and operations oversight
- High school diploma or GED required
- Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred
- Proficiency with dental practice management software (e.G., Dentrix or similar)
- Strong knowledge of insurance verification, claims processing, and collections
- Experience with financial reporting, budgeting, and KPI tracking
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Strong leadership, team-building, and coaching abilities
- Excellent communication and patient relationship management skills
- High level of organization, attention to detail, and time management
- Strong business acumen and problem-solving capabilities
- Ability to manage multiple priorities in a fast-paced, patient-focused environment
- Professional, service-oriented mindset with a focus on quality and patient satisfaction
