Our client is looking for an Office Administrator to join their team!
Job Summary
The Office Administrator performs a variety of administrative support which may include: general administrative support, assisting with invoice coding and approval, preparing reports and other documentation as requested by the management team, creating, and maintaining accurate documents and records, processing and receiving mail and shipments, assisting project managers and marketing department in preparing proposal documents, requisitioning of supplies, managing and tracking purchase requisitions and organizing office operations and procedures. Position level (Associate, Level I, Sr, etc.) is contingent upon multiple factors such as operational need and candidate skillset.
Essential Duties and Responsibilities
This position will support the entire office. The main responsibilities will be but are not limited to the following:
- Purchasing –Office supplies, Project Materials, etc
- Tracking and Coding Invoices for payment
- Travel Request –Hotels, Rental Cars, etc
- Fleet Needs –scheduling maintenance, making payments to our EZPass accounts, driving vehicles to and from locations
- Maintaining Meeting Notes and Agendas
- Process and Receive Shipments
- Assisting Project Managers and Operations as needed
Required Skills:
- Microsoft Office: Adobe, Word, and Excel
- Organizational skills
- Time management
- Able to prioritize items and pivot to a new task if needed.
